How to set up a Live Zoom Video or other event

Schedule live Zoom, Teams and in-person events from the platform

Overview

The Zoom Event/Live Video feature enables instructors and administrators to schedule live video sessions within the platform. Schedule a Live video chat directly from any course or program, with the Live Video content block.

Using the Event/Live Video Content Block

The Event/Live Video block contains important information and settings like date, time, description, RSVP option, the Event/Video Join link and email notifications.

There are a variety of ways for participants and administrators to join Live Video sessions. Enable cloud recording at the bottom of the video screen (on desktop or mobile) to record the video session. The recording will be automatically imported to the course step and Learning Activity Feed minutes after it is over. Add live video sessions from other platforms with a slightly different process (see below).

  1. To add a new Event/Live Video block from a course step, click the plus '+' symbol in any course editor to add a new content block.

  2. Click the 'Event/Live Video' block.

  3. Then fill out the details in the Live Video Block editor.

The Live Event Block has many options:

  • Add a title to the meeting.

  • Set the Start and End date and time for the meeting.

  • Write a description for the meeting.

  • Set one or more notifications with automated triggers for the meeting.

  • Uncheck the 'Enable Zoom Live Video' box to make it an in-person event or Live Video from another platform like Teams or Meet (more on this below).

    • Utilize the date and notifications to keep participants informed about these event types.

  • Click the 'Save' button on the upper right side to finalize all updates.

Calendar Sync and RSVPing to an Event

  • After you click the Save button, a new event/live block is created.

  • Admins, Instructors and learners can easily find it in several locations (more on this here):

    • In the Step it was created.

    • On their Activity Feed (when activity feed is enabled).

    • In the Up Next Feed (when that is enabled).

  • Participants can choose the desired RSVP option.

  • If a participant has done a calendar sync, these events will automatically show on their own synced calendar.

    • Note: depending on the calendar, this can take time to show, which is handled by the calendar provider like Google.

  • Click the 'Show RSPV's & Attendees' button to see a quick list of those who have signed up.

Recording to the Cloud

Once you start the Live Video, you can enable cloud recording at the bottom of the screen (on desktop or mobile). This cloud recording will automatically come back to the step (as well as the activity feed when enabled).

Note: the processing of the recording by Zoom might require some time.


​Post Event Attendance Updates

After the event is over, users can mark whether they participated in that event by clicking on the "I attended" or "I didn't attend" buttons. Admins can click on the "Show RSVPs & Attendees" button to view who RSVP-ed and who took part in that live event.

Setting up Live Video Session with other Tools (Teams, Meet, etc.)

Setting up a Live Video Session with another tool has similar functionality to the native Zoom setup, it is just scheduled differently.

  1. Create a live event block.

  2. Uncheck the 'Enable Zoom Live Video' box.

  3. Add the link and details to the details area.

  4. Set reminders as desired.

  5. Click Save to finalize the updates.

Setting up In-Person Live Events

In order to make a live event an in-person event, simply uncheck the 'Enable Zoom Live Video' box, and put the details of the event in the description field, including a map link, and any details desired.

  • This event will have all of the notifications and reminders needed.

  • This event will also sync to each user's calendar.
